Board Update

The Board has been working hard to ensure that the finances of the community are put on a sound footing while at the same time overseeing the ongoing routine and long term maintenance for the community.

At the same time we have been working with the Community Manager to streamline current processes and procedures to reduce paperwork and improve the quality and timeliness of financial information. The Board has also initiated projects to introduce "best practices" to the way in which it functions by introducing weekly and monthly status reports.

The Board has also been working with each of the committees individually and jointly to identify a clear set of goals and objectives for each area of the Association's management. Two "brainstorming" sessions were held with the Board and Committee Chair people in December and January which generated many new ideas that are currently being pursued by the Board and the Committees.

Communication between the Association and the homeowners has been improved with the introduction of Community Representatives. In addition the web site is being updated and news updates and newsletters will be distributed out the community on a regular basis. If you sign up for "Community Connect' you will also receive email and phone updates and alerts as well as being able to see your account and unit information online.

Next Homeowner Meeting May 24th at 7 PM at the Tredyffrin Township Building

On May 24th the Association will be holding its next Semi Annual Meeting at the Tredyffrin Township Building. All homeowners are welcome to attend. The meeting will discuss the accomplishments of the Association since the last Annual meeting in November and will also discuss plans for the remainder of the year. There will be plenty of time to answer questions. More details will be available about the meeting in early April. Community Representatives

Volunteers from throughout the Community will be working with the Communications and Maintenance Committees to help identify maintenance issues in our development.

Community Representatives will help the Maintenance Committee carry out quarterly inspections of the buildings looking for problems that need attention either now or in the future. Community Representatives will receive training from the Maintenance Committee on how to look for issues in each building such as rotted wood, flashing problems, loose roof shingles or stucco and staining problems. Community Representatives will work with their neighbors in their area of the Development to help ensure that maintenance problems are being brought to the attention of the Association.

Finance Committee Status Report
The three major priorities of the Finance Committee for 2006 are:

  1. Funding of existing and anticipated building renovations.
  2. Long term replenishment of the Reserve Fund.
  3. Review existing and propose new financial controls.

In addition, the Committee has compiled a more complete historical financial record in order to facilitate planning and address questions about past finances

The Committee has recently completed compiling the audited financial statements from 1994 to 2004 into a single spreadsheet. This information will be posted to this web site after it has been reviewed by the Board.

The Committee has also completed a review of the two most recent Reserve Studies that were completed for the Board.

The committee is evaluating various long term financial options that are available to the Community and will be making recommendations to the Board later in the year.

The Committee is starting a review of the financial controls that currently in place, and will be making recommendations and proposals to the Board before the end of the year.

The Board, the Management Company and the Committee are working together to improve the timeliness of our financial reporting especially through the use of electronic financial statements.

Maintenance and Repair Committee Status Report
The Committee’s primary focus is to complete a detailed engineering study of the community site and structures.  This study will help us prioritize the existing maintenance and repair work as well as plan for future maintenance and repair expenditures.

The Committee has also presented a 2006 work plan to the Board that includes a detailed breakdown of the proposed projects for the year. These include proactive roof maintenance throughout the community, stucco sealing on selected buildings and roof repairs where necessary. Rotted wood replacement will also occur on an "as needed" basis.

Trim painting will be completed in the Spring for Overlook Circle, Highpoint and Longview Circle as well as some remaining homes on Daylesford Blvd.

Architectural and Landscaping Committee Status Report

The committee’s priorities this year will focus on preserving the beauty of the Landscaping and lake environment we have in Daylesford Lake.   This spring we will enjoy the beauty of bulbs planted in the fall. We will again be planting flowers at our entrances.   Other Priorities include improving the quality of our lawns, especially in the front of units.  We plan to work on our entrances – including the large berm on the left as one enters on the 252 side. We also plan on working on creating some privacy for the homes along Swedesfod Rd.  We will do a spring walk around to assess the damage from winter and will make a list of the needed replacements (trees and shrubs).   We plan  to work as a committee on our goals for future landscaping for Daylesford lake.   Our regular maintenance schedule will begin with our spring clean up, (including clearing dead branches and clean up grasses) followed by mulching (end of March/April).  Mowing should commence late April and pruning to begin early June.

Bylaws & Governance Status Report

The committee’s primary focus has been to bring the Declaration up to date with recent changes in state and federal condominium association law.

The committee recently received a report from our Attorneys concerning compliance of the current condominium documents with State and Federal law. The Board and the Committee will be discussing the findings from this report with the attorney at the next Committee meeting.

Communications Status Report
The goal of the committee is to provide clear and accurate communications on a regular basis.  Methods include periodic progress reports from the Board, a quarterly newsletter, a redesigned Daylesford web site and updates via email.

Thank You for your support

Over 80 homeowners paid the $2,250 2006 Assessment in full before the end of January. The Board is very grateful for the support it has received from the Community about the need for an assessment. Funds from the assessment have been used for long term maintenance and landscaping projects to sustain the quality of the buildings and grounds in the community.

How To Request a Work Order
Go to www.daylesford-lake.com, click on ‘Services’ and fill out the form online.  This is the easiest and most efficient way to get work scheduled for your unit.

If you don’t have Internet access, please put your request in writing.   Describe your issue in detail and drop it in the black mailbox at the pool mail hut.  Your request will be confirmed and your repair scheduled as soon as possible.

Note: So that the maintenance staff can respond more efficiently, maintenance requests will no longer be taken over the phone or voicemail.  All work order requests must be submitted via the web site or in writing as detailed above.

Roof Leaks
Recently, the Association has carried out substantial building repairs to prevent and reduce roof leaks.  However, after heavy storms with high winds, leaks may still occur.  Should you experience a leak, complete a work order online or drop off a written request.

Interior repairs and damages due to broken pipes, plumbing breakdowns etc. are the homeowner’s responsibility.  Call your insurance company and/or your repair person.

In case of severe FIRE, FLOOD or other EMERGENCY (i.e. your roof blows off, a tree falls on your building, mud slide etc.) call the emergency number (215-701-8626) for further instructions.

Dogs, Dogs, Dogs…
Dog owners are required to pick up after your dogs at ALL TIMES, IN ALL AREAS.  There has been an increase in ‘residue’ left in our community.  This is unpleasant for everyone.  Please remind your children, dog walkers and others who may walk your dog to carry and use bags.  Please do not let your dog wander onto areas where you are unable to pick up.  Thank you for your diligence.
